Novus can make your event happen no matter what size, type or purpose. Be it an annual members conference, a gala dinner or an awards ceremony, we have a wealth of experience across many different industries and event types. You can pick and choose which of our services you want to utilise and we will happily provide a bespoke service. Our event services include:
Venue search, negotiation and management

To ensure that you can achieve all your venue requirements, Novus conducts a thorough search of the chosen location, initially through desktop research and phone/email communication, to yield a shortlist of five potential venues. We then conduct site visits to each of these venues, to eliminate down to the best two/three. Finally, Novus then conducts site visits and interviews with these final venues' event managers, with the client if they so wish, and present our recommendations to you for your final decision.

Once the venue has been chosen, Novus then provides the primary Point of Contact for the venue. We will be in continual contact with the venue to ensure all requirements are adhered to, and will also conduct a secondary and tertiary site visit at agreed intervals before the event to ensure that there are no possibilities of any impediments.

Pre-event communication, coordination and administration

Novus understands that delegates, speakers and sponsors are not just event attendees; they are the life-blood of the client's work as a whole. We work hard to ensure that every single attendee is treated as an individual and receives a very personal service.

Using both online and offline registration systems, with total visibility for both the client and Novus, we are able to access all delegate information in real-time and give each attendee the ability to ask for specific requirements. We always respond promptly and act accordingly to ensure each requirement is met. We are also able to issue, monitor and chase payments through our own invoicing system so that we can accurately report on all outstanding invoices and take any necessary action.

In addition we research, develop and publish an Event Information Pack for all types of attendee upon registration. This document will provide a checklist of information, including local accommodation, travel, security details, available AV etc., which will help to ensure there are no unexpected surprises for anybody onsite.

Logistics planning, management and liaison, including on-site event delivery

Novus can manage all aspects of the pre-event planning of logistics and onsite delivery. Where external suppliers are required, e.g. for AV or specific catering requirements, we obtain three suitable quotes and give recommendations to the client for their decision before proceeding. We consequently manage the relationship with the chosen supplier to ensure that the client's expectations are exceeded.

Novus always provides a friendly yet professional service and this extends to our onsite delivery team. All of our freelancers have years of experience running events. We operate a pre-determined hierarchy onsite, which means that one Event Director would be ultimately responsible for all areas of the conference onsite, with support from Delegate Managers, AV and Speaker Managers and Exhibition Managers where appropriate. We use a discreet radio system to communicate with one another to ensure that no area is ever left unmanned.

Novus can produce all of the copy of, and oversee the production and print of, the delegate handbook and can also contract and manage suppliers for event materials such as photography, name badges and signage.

Sponsorship and exhibition management

Novus has a proven track record of exceeding sponsorship targets. We work closely with each client to establish the true value proposition of sponsoring each individual event.

As well as selling packages and handling contracts, we also manage sponsors once contracts are signed. We handle all the logistical information each sponsor needs to prepare for the event and we liaise with the venue and other suppliers to ensure that all entitlements are met. Onsite, our dedicated Exhibition Manager will manage the set up of the exhibition area and act as the primary contact for sponsors for the duration of the event.

Marketing

Novus can create up-to-the-minute marketing plans, covering all available media that suits the target market of the event. We then manage each event's plan, updating and revising on a monthly basis, or more frequently if necessary.

We also write the copy for, produce and disseminate all marketing materials to the target market and will work with the client's own resources, if any, to ensure that the marketing plan is adhered to in an appropriate and timely manner.

Novus recognises that the marketing opportunity for each client goes well beyond just the event. We always suggest 3 or 4 additional post-event marketing activities to delegates, which will help "lengthen the tail" of the event, adding more value to attendees, and helping to ensure that the client's brand is consistently exposed to the market.

Financial management, including budgeting and reporting

Novus creates a real-time event plan as soon as the contract is signed, and provides accurate and real-time speaker, sponsor and delegate records through an online and offline delegate management system. We complement this with a bi-weekly or monthly written report to the client that details any significant developments that have occurred during the preceeding period as well as key achievements to be expected in the following weeks.

We also plan and manage event budgets, with revisions and updates completed on an ad hoc basis and reported to the client at least once a month or more frequently if desired.

We are proud to say that we have not once made a loss on any event we have run. Most often we actually pay for ourselves two or three times over.
